A global manufacturing enterprise of 2,000-plus employees ran onboarding through manual handoffs between HR, IT and facilities. We replaced the siloed processes with one connected ServiceNow HR Service Delivery (HRSD) platform and an Employee Center Portal. Task completion is now 96% faster across roughly 500 new hires a year.
The Challenge
HR ran on manual, siloed processes with no automation and no real-time reporting. Self-service was limited and service quality varied across high volumes. Onboarding depended on manual coordination between HR, IT and facilities, repeated for roughly 500 new hires a year, each taking 2 to 3 hours of administrative effort. Slow, inconsistent onboarding kept new hires from becoming productive, and HR had no visibility into its own operations. Every manual handoff added delay exactly where the business needed speed. A new hire waiting on a handoff is someone the company has hired but cannot yet put to work.
What We Did
We deployed ServiceNow HR Service Delivery with a configured HR Service Catalog as the operational core, so every request had one route and one owner. That replaced the siloed processes HR had been running by hand and gave the enterprise a single place for HR work to land. We launched an Employee Center Portal with automated onboarding and offboarding workflows, so employees serve themselves instead of waiting on a coordinator. We then added role-based access, data security and custom dashboards, which gave HR real-time reporting on its own operations for the first time.
The Solution
One connected HRSD platform runs onboarding and offboarding end to end. The Employee Center Portal gives employees full self-service, workflows trigger automatically instead of waiting on handoffs, and HR watches its own operations on real-time dashboards.
The Outcome
Onboarding task completion is 96% faster, with full employee self-service adoption across roughly 500 new hires a year. Each hire used to carry two to three hours of HR and IT admin. At that volume it comes to 1,000 to 1,500 hours a year, an estimated $50K to $75K, now spent on new starters instead of paperwork. The hours HR and IT spent chasing handoffs now go back to the teams themselves, and new hires reach productivity sooner because nothing waits on a manual coordination step. HR also sees its own operations in real time, so it can fix a bottleneck rather than discover it later.
