One Tool Now Covers Employee Time Tracking in Every State

A US transportation company tracked employee time on an app pieced together by several vendors over the years, with no safeguards for accurate multi-state tax reporting. We redesigned the data architecture and built one state-by-state tracking tool with risk controls built in. Employee adoption rose, and a category of compliance gap closed.

The Challenge

The company's time-tracking app had been pieced together by several vendors over the years, making it unreliable, with no real safeguards for accurate multi-state tax reporting. No single team fully understood or controlled the data flow behind it. Employees worked across state lines, and their time had to be reported state by state. Without built-in safeguards, the company had no reliable way to guarantee accurate tax reporting across every state its employees worked in. A patchwork no one fully controls is a compliance risk waiting to surface. The exposure sat with the company on every filing, in every state.

What We Did

We started with the data. We fully redesigned the data flow behind the tracking app, so one team could see and control how time moved from an employee's phone to a state-level tax report, instead of inheriting logic from several past vendors. We then built a state-by-state tracking app integrated with the company's existing systems, and added risk controls for compliant reporting plus automation to cut manual steps out of operations. The controls are part of the build, not a review step bolted on afterwards.

The Solution

One tracking app now records employee time state by state, on a redesigned data architecture, with risk controls and automation built in and integration to existing systems. One team owns it and understands the data flow behind it.

The Outcome

With no financials disclosed, the value reads in coverage and reliability: employee adoption rose against the fragmented tool it replaced, and reporting in every state is now backed by built-in risk controls rather than manual diligence. A category of multi-state tax compliance gap is closed, and one team now understands and controls the tracker end to end, instead of maintaining a build assembled by vendors who have long since moved on.
