The Support Team Now Gets 80% More Done Without Adding Staff

A revenue cycle management provider tracked claims and verification data in Excel, where follow-up depended on manual tracking and claims could sit 90 days untouched. We built scored lead and claims management, automated verification, and performance dashboards. Support team efficiency improved 80%.

80%Improvement in support team efficiency
50%Gain in lead and task assignment efficiency
40%Reduction in data handling time

The Challenge

Claims that went 90 days without follow-up simply fell through the cracks. Leads and duplicate records were hard to manage, and verification data lived across large, disconnected Excel sheets that made task assignment and status tracking slow and error-prone. Nobody could see the whole queue at once. An unfollowed claim or a delayed verification is lost revenue for a revenue cycle manager. Every duplicate record meant two people working the same case, and every missed follow-up was revenue the provider never collected. Moving off Excel and onto automated, scored workflows was the only way to keep pace with claim volume.

What We Did

We built scored lead and claims management that ranks follow-up by budget, authority, need and timing, and by service level deadlines. Duplicate records fell out of the queue with it. The team stopped deciding what to work on by scrolling a spreadsheet. We automated the verification workflow so it assigns jobs, tracks verification status, and updates records without manual spreadsheet tracking. We then built performance dashboards that give team leads real-time visibility into claims, verification queues, and expense management.

The Solution

Leads and claims are scored and routed automatically, verification status updates in real time, and dashboards track performance across the team. Team leads can see which claims and verification queues need attention without asking anyone for a status update.

The Outcome

Excel-based claims tracking is gone. Support team efficiency improved 80% without adding staff, lead and task assignment efficiency gained 50%, data handling time fell 40%, and duplicate records and communication delays dropped 30%. Verification that used to sit in a spreadsheet now updates itself and flags what needs attention. Claims stop aging quietly at 90 days, and the team spends its day working the queue rather than maintaining the record of it.

Is claims or verification tracking still running through Excel?
